Send all the records you expect to submit and identify those required for the immediate deadline. An extract may refer to a person who signs a power, while a resolution explains the person's authority. The translator needs to see the relevant context and the agreed scope. We will not quietly add an unquoted annex, nor assume a short attachment has no importance because the principal record appears complete.
Polish institutional terms need careful handling. In legal translation, a Polish role should not be assigned the name of a Spanish office with different powers merely because the labels resemble each other. Existing official company names and previously accepted documents can be useful references. They do not override what the current original actually states.
Personal and academic certificates
Birth and marriage records, criminal record documents, diplomas and transcripts may also be requested for procedures in Spain. Supply both sides, stamps, later notes and separate attachments. If a certificate has been reissued, make clear which version the organisation will receive. Translating an earlier scan and then submitting a changed original can create an avoidable mismatch.

Polish names and places include diacritics that may be difficult to read in a blurred image or beneath a stamp. Provide a clear scan and point out any differences from the applicant's passport. The translator should not remove marks or silently alter the source spelling to make two documents look identical. If authentication has already been added, include that page for assessment too.
Decide what needs certification
A Polish contract for internal review may require accurate translation without the formalities of a sworn translation. A Spanish authority may expressly request sworn translation for documents filed in a procedure. The recipient's written instructions are the best starting point. Sworn certification does not cure a missing original, expired certificate or other problem that the receiving body identifies.
For wider business and personal needs, Polish translation covers work outside the sworn process. Tell us what each document will be used for so that we can separate the formal filing from background material. A quotation can then specify the included pages, the requested delivery medium and a realistic date after the accredited professional has checked availability.
Direction and destination
Polish into Spanish and Spanish into Polish are separate directions. We check the professional's authorisation and availability for the requested assignment rather than assuming both are interchangeable. If a Spanish document will be filed in Poland, the Polish recipient determines what translation form it accepts. Certification under the Spanish system is not a guarantee that every foreign organisation will accept the finished document.

An electronically signed file may be possible, subject to the professional's method and the recipient's rules. A printout is not necessarily equivalent to the electronically signed original. State whether you need paper copies and physical dispatch. Apostille or legalisation concerns the source document separately; ask the recipient whether it is required and provide any existing authentication for translation assessment.
A useful first submission
Send complete legible files, the exact direction, country and organisation of use, deadline and any instructions about signature or copies. Identify annexes in English or another language. The final price and date depend on actual content and professional availability, not merely the number of files attached.
Use the quote form to share the documents and the recipient's written requirement. If the filing specification changes, tell us before certification. It is easier to revise the scope while the work is being prepared than to discover after submission that a supporting page was omitted or that the recipient expected a different delivery format.
Frequently asked questions
Can a power of attorney and registry extract be translated together?
Yes, send both and identify any related annexes. Reading the set helps maintain consistent names, offices and reference numbers. The quotation will list exactly which pieces are included.
How are Polish diacritics handled in names?
The original spelling and relevant official references are checked. If a character is obscured, we may ask for a clearer copy. A discrepancy between documents should be raised rather than silently normalised.
Do you also offer Spanish into Polish?
Specify that direction when enquiring. We work with accredited Polish sworn translators but verify authorisation and availability for each assignment. A Polish receiving organisation also sets its own acceptance criteria.
Do Polish documents need an apostille?
That depends on the procedure and the receiving organisation's instructions. Translation and authentication are separate matters. Send any existing apostille with the source record so that its wording can be assessed.
Can I request a signed PDF and paper copies?
Describe both requirements and the recipient's rules. We will check whether electronic signing is available for the assigned professional and account for copies and dispatch in the quotation and timetable.
