Establishing where the file came from
Send certificates, extracts and attachments with all pages. Identify the issuing body, since an administrative term need not play the same role in both countries. Legal translation preserves that distinction rather than automatically renaming an institution as a Spanish one. Note any seals or comments in French; they may bring another language into scope.
A company extract can show changes of representatives and registration dates. If powers or agreements accompany it, send them together to check names and references. Details from different registers should not be combined into an apparently more complete document. Each source retains its own date and content. A cropped photograph omitting a registration number may prevent an entity from being identified.
Personal and academic certificates
Civil records, diplomas and certificates may have marginal notes and marked reverse sides. Send the version you will actually submit and any supplement requested. Translation conveys source data and grades; it does not itself determine recognition of studies in Spain. The receiving body decides whether a particular copy, recent issue or certified form is needed.

Dutch translation without official certification can suit correspondence and internal business material. Sworn status is not imposed by the language or the appearance of a seal. Ask the destination body which form its particular procedure requires and share the answer.
Direction and foreign destination
Dutch into Spanish and Spanish into Dutch are assessed separately. For Spanish use, authorisation and availability are checked for the required direction. If a Spanish document is going to the Netherlands or Belgium, ask the local recipient which translation it accepts. Spanish certification does not automatically match every destination formality.
A Belgian Dutch-language file may include French pages; another record may have an English version. Identify what needs translating and which source has authority. Two columns are not necessarily equivalent in annotations and seals. If an attachment needs a different language combination, the quotation should say so.
Signature, medium and authentication
The professional certifies and signs under the applicable framework. Electronic signing may be possible where the prescribed method is used and the recipient accepts a digital document. A printout of a signed PDF is not automatically the electronic original. State any requirement for paper, extra copies or dispatch before a deadline is agreed.

Apostille or legalisation of the source is separate from translation. The receiving organisation determines whether it is needed. Include an existing authentication and ask whether its wording must be translated. It should not be added routinely without knowing the country, document and procedure.

Where a file contains a bilingual certificate issued in Belgium and a Dutch extract from another organisation, keep the pieces grouped by issuer. Notes on one record should not be carried into the other. The Spanish recipient’s communication may clarify whether it wants both documents in full, one language of the certificate or later stamps translated. That decision needs the actual pages, not a general description of the file. If the records have different issue dates, identify which version of each will be submitted.

Does it matter whether a Dutch-language file comes from Belgium or the Netherlands?
Yes, the institutions and terminology may differ. Give the issuing country and Spanish recipient. Send all pages so names, stamps and notes can be read in context.
Can a Dutch company extract be sworn-translated?

What if one page also contains French?
That language must be identified and assessed within scope. It is not treated as Dutch, and bilingual versions are not assumed identical. Share the recipient's instructions about the required parts.
Can I receive an electronically signed file?
That depends on the professional and the receiving body's acceptance. Confirm whether it requires a digital file or paper. A printout may not retain the original electronic signature's properties.
Will a Spanish sworn translation be accepted in Belgium?
There is no general guarantee. The Belgian recipient specifies the translation and presentation form it accepts. Its instructions determine whether the Spanish service fits the procedure.
